Condo association board emails can be offensive - how to clean it up?

  
  
  
  
  

I serve as treasurer on our board and have for 4 years. The problem we face is long term board members whose email conduct is less than professional. The individual is terse and harsh towards any other board member who does not agree. Overall the board has worked hard to improve its image as being professional and non-confrontational to owners and minimize/eliminate the "good ole boy" operational concept. Please any thoughts from others who have faced this dilemma.

Two suggestions. First warn the offender that if his e-mails are not acceptable to other board members and he refuses to change then have other Board members black list him' Or the Board can take action to remove him from the Board.

DETECTIVE IN OUR CITY ALL EMAILS WERE PASSES TO THEM FROM OUR COMBATIVE PRESIDENT. I LET THE BOARD KNOW. ALL NASTY EMAILS TO OWNERS STOPPED CAROLYN

Some people express themselves in terse communications whether verbal or written. If there is no name calling, why object? 

On the other hand, when some people are not seeing things go their way, and are otherwise unable to bring their colleagues around to their own way of thinking, they can become impolite. 
Perhaps sending copies of the emails in question back to the sender, and asking him or her if she meant to write it would be helpful.  

Reading something a few days after writing in anger is sometimes embarrassing and revealing. (As this writer knows from his own experience.)

I would like to hear from folks on the other side of the board that receive these e-mails. I have been experiencing this for years and even though I try to stop their disrespective tones at meetings and in their e-mails, they just seem to keep on coming stronger. I don't know what to do anymore. I have tried to deal with this in a diplomatic manner but their response is always offensive or dismissive. I have talked to lawyers and they say that I am being harrased. I am really afraid of the Board members.

Check your Master Deed and Bylaws. They should contain language to assist in the removal of a board member. If not, I would sugguest you work towards amending your bylaws to include the ability to remove a board member, which specified examples for remval.

We have a community board president, whose emails are the most obnoxious. Every email is a treat to another board member, they are harrassment, at best. He sent an email in response to an email that I sent to the other members of this board regarding floats in the community pool. We decided that we would not have floats in the pool because this takes up space from people trying to swin etc. This president, stated in an email, in a very rude manner, that I had a "personal" agenda and that I "hated" children! I was not going to respond to him but I just had to. I question what my "personal" agenda was and cc'd the rest of the board. They all responded in my favor and were glad that someone stood up to him. He needs to leave the board but the others are too afraid to make that suggestion.

This Board President disagrees with you. He makes an argument in favor of children, and perhaps goes overboard when he accuses you of hating children. Why does that make him a candidate for removal?

Warn all residents that abusive e mails will not be accepted and will be deleted upon receipt.

Louise: I don't like deleting abusive emails, because sometimes they include information that is actually important. For instance, someone making a legitimate complaint about security might use abusive language while making a complaint. His information must be heeded.

I am not advocating removal over one hot email. This board president is notorious for ALL his emails to be threatening to all other board members. His language is always vile. I am not alone on this matter. He constantly threatens other board members. If you disagree with him, he always throws a hissy fit. He has served for many years and it is the general conensus that he should go!

In Florida a recall is possible. If you a have a small number of people in your Association it should be possible to remove him. Otherwise, wait till the next election.

It sounds like a nightmare. I think the only thing you can do is try to remove him from the board. The board and the residents should not have to put up with abusive behavior from anyone. See if you can find the procedure for removing someone form the board. This is a problem on many boards. One person gets power and won't let go of it. It's not too different from a dictatorship.

This is a general question. Who is responsible for damage and maintenance for a garage door on a townhouse? Who is responsible for broken windows? Our CC&Rs are not clear and we'd like to add some rules. A tenant broke a garage door in one of our units and the owner thinks the HOA should pay for a new one because the HOA has rules as to the type and color of garage doors. Our CC&Rs say that the owner is responsible for maintenance and replacement within the 4 walls, but windows, outside doors and the garage door seem to be both inside and outside the 4 walls.
